TERMS & CONDITIONS

By registering for the Bluff to Bar Ocean Swim (the Event), participants agree to the following Terms & Conditions. 

1. GENERAL 

1.1 The Event is organised and delivered by Alex Surf Club (the Organiser). 

1.2 The Organiser reserves the right to amend these Terms & Conditions at any time. 

1.3 All participants must comply with official race rules, safety requirements and directions from event officials. 

1.4 The Race Director’s decisions are final and not subject to appeal. 

 

2. REGISTRATION & ELIGIBILITY 

2.1 Participants must meet the following age requirements: 
• 1.2km Ocean Swim: 12 years and over 
• 500m Junior Ocean Swim: 9–11 years 

2.2 Participants under 18 must have a parent or guardian accept these Terms and the Event Waiver on their behalf. 

2.3 The Organiser reserves the right to accept or reject any entry at its discretion. 

 

3. REFUNDS 

3.1 All entry fees are non-refundable, except as outlined below. 

3.2 If the Event is cancelled by the Organiser due to circumstances beyond reasonable control (including but not limited to weather, surf conditions, safety concerns or government restrictions), refunds will not be guaranteed. 

3.3 In the event of cancellation, the Organiser may, at its discretion: 
• Offer a partial refund 
• Offer a transfer to a future event 
• Retain entry fees to cover event costs 

3.4 No refunds will be issued for: 
• Change of mind 
• Injury, illness or personal circumstances 
• Failure to attend the Event 

 

4. TRANSFERS & CHANGES 

4.1 Participants may request a transfer of their entry to another person or category, subject to approval by the Organiser. 

4.2 Transfer requests must be submitted via email to events@alexsurfclub.com.au no later than 5 days prior to Event Day. 

4.3 Transfers are not guaranteed and may incur an administrative fee. 

4.4 Category changes (e.g. distance or wave changes) are subject to availability and Organiser approval. 

 

5. EVENT CHANGES & CANCELLATION 

5.1 The Organiser reserves the right to modify the Event format, course, distances, schedule or safety requirements at any time. 

5.2 Changes may occur due to: 
• Weather or ocean conditions 
• Safety concerns 
• Operational requirements 

5.3 The Event may be postponed or cancelled if conditions are deemed unsafe. 

5.4 No compensation will be payable for any changes made in the interest of participant safety. 

 

6. EVENT PARTICIPATION 

6.1 Participants must follow all race rules and safety instructions. 

6.2 Participants must wear required event equipment, including swim caps and timing devices where applicable. 

6.3 The use of prohibited equipment (including wetsuits, fins or flotation devices in restricted categories) may result in disqualification. 

6.4 Participants may be removed from the Event if deemed unable to continue safely. 

 

7. TIMING & RESULTS 

7.1 Participants must complete the course within designated time limits as determined by the Organiser. 

7.2 Official results are determined by the Event timing system and Race Director. 

 

8. MEDIA & PROMOTION 

8.1 By participating, you consent to the use of your name, image and likeness for promotional and marketing purposes. 

8.2 This includes use across digital, social media and future event promotions. 

 

9. PRIVACY 

9.1 Personal information collected during registration will be used for event administration, communication and results publication. 

9.2 Participant names and results may be publicly available. 

 

10. LIMITATION OF LIABILITY 

10.1 Participation in the Event is at your own risk and subject to the Event Waiver. 

10.2 The Organiser is not liable for any loss, damage or injury sustained, except where required by law. 

 

11. GOVERNING LAW 

These Terms & Conditions are governed by the laws of Queensland, Australia.
